Typical Duties of  Property Management Company


Communication and Coordination

•Maintain communication between the board, association members, and vendors.

•Respond to all letters and log calls from owners.

•Send notices for Annual Meetings and Special Meetings.


Financial Management

•Ensure collection of HOA Dues and Special Assessments.

•Ensure all Bills are Paid on Time.

•Produce Yearly and Monthly Financial Statements.

•Establish a Draft Budget for the board and implement budget policy.

•Ensure Tax forms are completed, and appropriate taxes paid.

•Follow up on all Delinquent Account and File liens as desired by the board.


Advice and Consultation

•Advise the board on governing documents.

•Refer the Board to other professional advisors as needed,

(e.g. Attorneys, CPAs, Engineers).

•Research Insurance Coverage Policies and File Insurance Claims.


Record Keeping

•Maintaining files for each member of the association/owner.

•Maintain records for the association.

•Process internal Architectural Control Committee Applications.


Property Management & Maintenance

•Interview, Hire, Supervise, and Terminate Association vendors as necessary.

•Negotiate Contracts- with board approval.

•Monitor contract vendors such as landscape and janitorial services.

•Handle Emergency Situations.

Existing Contracts:

  • We manage associations using existing contracts, reviewing them for cost-effectiveness while maintaining high-quality standards. Recommendations for changes are proposed to the Board of Directors.


Inspections:

  • Regular inspections identify areas needing attention or repair, and corrective actions are assigned to appropriate personnel.


Board Meetings:

  • We aim to attend monthly board meetings and the annual meeting, contributing our insights.


New Owner Adjustments:

  • We will help with new owner processing including informing them of dues, collecting their contact information forms, completing condo questionnaires, completing sellers certificates, and processing payments from title companies.

 

Budget:

  • Assistance is provided in preparing the association's annual budget in collaboration with the financial committee and/or the Board.


Bookkeeping:

  • We offer automatic deduction of monthly maintenance fee payments and provide options for regular assessment payments. Our comprehensive bookkeeping includes monthly statements and transparent financial reporting to the Board.


Payment Options:

  • We offer convenient payment options, including credit card processing and automatic checking account withdrawals for member payments. Dues proceeds are automatically allocated to cover expenses, and we can set up different accounts as per your specific needs.
